Understanding SYNC
As your business grows, the work that keeps it running can start taking up the time you need to lead it. A SYNC Virtual Specialist takes ownership of administrative, operational, executive, or marketing responsibilities, giving you more room to focus on strategy, relationships, and revenue-generating priorities.
SYNC supports founders, business owners, executives, and growing teams that need reliable, full-time operational support. Whether you are carrying too much yourself or adding capacity to an established team, a SYNC Specialist can help create the structure and consistency your business needs to keep moving.
SYNC works with US-based business owners and growing companies across industries. Our process begins by understanding your business, priorities, workflows, and role requirements so we can determine whether our full-time support model is the right fit.
A virtual assistant can manage work that does not require an in-person presence. Depending on the role, that may include inbox and calendar management, client communication, reporting, project coordination, CRM updates, marketing execution, content support, process documentation, and day-to-day operational follow-through.
SYNC recruits full-time Specialists for administrative and operational support, executive assistance, and marketing and brand support. Each role is shaped around the client's actual needs rather than a generic task list.
Working With Your Specialist
Every SYNC Specialist works full-time, 40 hours per week, and is dedicated exclusively to one client. SYNC does not offer part-time placements because consistent integration and long-term ownership require focused support.
Yes. Your SYNC Specialist works exclusively for your business and is not shared across multiple clients. This allows them to learn your priorities, systems, communication style, and business context over time.
SYNC Specialists work during US business hours. Your Specialist's schedule is aligned with your business so you can communicate and collaborate during the workday, regardless of where the Specialist is located.
No. SYNC Specialists work 40 hours per week, Monday through Friday, during their agreed US business schedule. They are not available on weekends or observed holidays.
Every SYNC Specialist must demonstrate advanced English proficiency. Our talent pool also includes bilingual and multilingual professionals, with some candidates speaking three or more languages. Language requirements are considered during the matching process.
Your Specialist works inside the communication systems your business already uses, such as email, Slack, Microsoft Teams, Asana, or another agreed platform. During onboarding, you will establish the channels, meeting rhythm, response expectations, and escalation process that work best for your team.
Clear priorities, documented responsibilities, task boards, and agreed performance indicators make progress visible. Your Team Leader also oversees the relationship, monitors performance, supports communication, and helps address issues before they become larger problems.
Our talent pool has experience across common business tools, including CRMs, project management platforms, Google Workspace, Microsoft Office, communication tools, marketing platforms, design tools, and AI-supported workflows. Experience varies by Specialist, so tool requirements are considered during the matching process.
Training and Integration
No Specialist can arrive knowing every company's internal systems. SYNC prepares Specialists with professional standards, AI training, proven workflows, task boards, and operational resources. Client-specific training continues during integration so your Specialist can learn your tools, processes, preferences, and business context.
You bring the business context, priorities, preferences, and any existing processes or SOPs. SYNC provides a structured onboarding framework, resources, and Team Leader support to help turn that knowledge into clear responsibilities and repeatable workflows. Successful integration is collaborative and becomes stronger with timely feedback.
The process includes an introductory questionnaire, consultation and qualification, intentional matchmaking, candidate presentation, interviews and selection, and structured integration. Placement may happen in about 10 days, while onboarding and role-specific training continue after the Specialist joins your business. SYNC supports the client and Specialist throughout the entire engagement, with Team Leader oversight, ongoing training, and help as new needs or challenges arise.
Clients begin with a three-month agreement and should be prepared to participate in onboarding, share business context, provide access to the right systems, set priorities, and give timely feedback. The strongest partnerships are built when the Specialist has clear direction and room to take increasing ownership over time.
Quality and Support
A SYNC Specialist works as a dedicated member of your team, while SYNC manages the recruiting, employment logistics, payroll, training, and ongoing support behind the scenes. You also receive Team Leader oversight and access to proven systems and continuing education without having to build that support structure internally.
It can be. Clients pay one monthly fee while SYNC manages payroll, training, oversight, and employment logistics. This can reduce many of the recruiting and employment costs associated with a traditional internal hire. Actual savings depend on the role, market, and needs of your business.
SYNC recruits talent worldwide and evaluates more than technical ability. Communication, professional judgment, working style, adaptability, and alignment with your business are part of the matching process. Your Specialist then learns your company through structured onboarding, regular collaboration, and continued feedback.
Every SYNC Specialist is a university-educated professional with at least a bachelor's degree. Some also hold master's degrees or specialized certifications. Candidates are evaluated based on professional experience, advanced English proficiency, communication, and role-specific ability. After placement, Team Leader oversight, performance support, AI training, and continuing education help maintain a consistent standard throughout the relationship.
We first work with you and the Specialist to understand the issue and create a clear action plan for improvement. If the partnership still is not the right fit and you decide to move forward with a change, SYNC can begin the process of matching you with another Specialist.
Contracts and Billing
No. Clients pay SYNC a single monthly fee. SYNC manages payroll, employment logistics, training, oversight, and ongoing support so you do not have to manage those responsibilities separately.
Yes. The initial agreement with SYNC is for three months. This gives the Specialist time to learn your business, complete the integration process, and demonstrate how the role can support your operations. After the initial term, the agreement continues month-to-month.
After the initial three-month term, your agreement continues month-to-month and may be canceled with 30 days' notice. The specific terms are outlined in your agreement with SYNC.
